Beaver Club & TruePath

Privacy Policy

How we collect, use and protect information shared by families who visit our website, contact us or join our programmes in Chiang Mai.

Last updated: 15 September 2026

This policy applies to Beaver Club, TruePath, our camps, family activities and tours, birthday events, homestay services and related enquiries. In this policy, “we”, “our” and “us” refer to Beaver Club Chiang Mai and TruePath.

1. Information we collect

We collect information that a parent, guardian or other adult chooses to give us when contacting us or arranging a service. This may be shared by email, telephone, LINE, WeChat, WhatsApp, a Meta lead form or another booking or enquiry channel.

Depending on what you ask us to arrange, this information may include:

  • the parent or guardian’s name, email address, telephone number, country of residence and preferred language;
  • a child’s name, age and programme or accommodation requirements;
  • attendance dates, emergency contacts and information about allergies, health or dietary needs that is reasonably necessary for safe participation;
  • booking, payment and transaction information; and
  • messages, feedback, photographs or videos you choose to share with us.

Payments may be completed through banks or third-party payment providers. We do not ask the website to store full payment-card details.

2. How we use information

We use relevant information to:

  • answer enquiries and recommend a suitable programme, event, trip or stay;
  • register participants, manage bookings and communicate schedules or changes;
  • support children’s safety, wellbeing and reasonable individual needs;
  • process and record payments;
  • operate and improve Beaver Club, TruePath and our family services;
  • send news or marketing only where we have permission or another lawful reason; and
  • meet legal, accounting, safety or regulatory requirements.

We do not sell or rent personal information.

3. When we share information

We share personal information only when reasonably necessary for the purposes described above. Recipients may include authorised team members, activity or accommodation partners, technology and communication providers, payment providers, professional advisers, emergency services or public authorities where required.

Service providers receive only the information needed for their role and may process it under their own privacy terms and legal obligations.

4. Children’s information

Information about a child should be provided by, or with the knowledge of, a parent or legal guardian. We use it only for legitimate programme, communication, booking and safety purposes. Please do not send health or emergency information that is unrelated to the child’s participation.

5. Photos and videos

We may take photographs or videos during programmes and events for parent updates, documentation or public communication. We ask for parent or guardian permission before using an identifiable child’s image publicly. Consent for future public use may be withdrawn by contacting us. We will consider requests concerning material already published and remove it where reasonably possible.

6. Website, cookies and third-party services

Our web host may process basic technical information, such as an IP address, browser type, requested page and time of access, to deliver and secure the website. We may add analytics or advertising technology in the future; if we do, this policy and any necessary cookie choices will be updated.

Our pages may connect to services such as Google Maps, YouTube, Facebook, Instagram, LINE, WhatsApp or WeChat. When you open or use those services, their own privacy policies apply. Videos are loaded from YouTube only after you choose to play them.

A Meta lead form is operated on Meta’s platform. Information you submit there is provided to us so that we can respond to your enquiry, while Meta also processes it under its own terms.

7. Retention and security

We retain information only for as long as reasonably necessary to manage the relationship, protect participants, maintain required records, resolve concerns and meet legal obligations. Different records may have different retention periods.

We use reasonable organisational and technical safeguards and limit access to people who need the information for their work. No online transmission or storage method can be guaranteed completely secure.

8. Your choices and rights

Depending on the circumstances and applicable law, you may ask to access, correct or delete personal information, receive a copy, object to certain processing or withdraw consent. Withdrawing consent does not affect processing that was lawful before withdrawal, and some records may need to be retained for legal, safety or accounting reasons.

You may also ask us to stop sending marketing messages at any time.

9. International services and policy changes

We operate in Thailand and use communication and technology services that may process information in other countries. We take reasonable steps to use information consistently with this policy.

We may revise this policy when our services or data practices change. The current version will remain available at this address, with the revision date shown above.
